Job Description

Position Purpose: To support the activities involved with the pricing of estimates and the purchasing of materials in the most cost effective and efficient manner

Essential Responsibilities

  • Assists with the selection and purchase of materials
  • Confers with vendors to obtain product or service information such as price, availability, and delivery schedule
  • Assists with the setup of annual blanket purchase orders and bid requests
  • Updates and maintains procurement records
  • Assists with the tracking of actual material costs versus estimated dollars
  • Works closely with Accounts Payable to ensure accuracy of invoices
  • Approving TAP (Transform AP) invoices in a timely manner
  • Assist in the returning of excess materials
  • Works with estimating department for pricing of estimates
  • Works with project management to procure materials at the correct cost and in a timely manner
  • Maintain and update supplier diversity certificates
  • Setup hotel direct billing accounts
  • Department Expense PO entry
  • Setup new suppliers and maintain supplier records
  • Negotiate payment terms
  • Assist with supplier inquiries about payment/terms
  • Other duties as assigned

Knowledge | Skills | Abilities

  • Ability to work independently and meet deadlines
  • Good negotiating and interpersonal skills
  • Proven administrative, communication, organizational, presentation and analytical skills
  • Skill in preparing and maintaining procurements records
  • Knowledge of Microsoft Office, Outlook, and JD Edwards

Qualifications

  • High School Diploma: Bachelor's Degree in business or related field preferred; or equivalent experience will be considered.
  • 1-3 years of purchasing or material procurement experience is preferred.

Work Environment

  • Must be able to remain in a stationary position over 50% of the time
  • The person in this position needs to occasionally move about inside the office to access file cabinets, office machinery, etc
  • Continuously operates a computer and other office productivity machinery, such as a calculator, copy machine, scanner, and computer printer
  • The person in this position frequently communicates with employees and coworkers and must be able to exchange accurate information in these situations
  • Occasionally lifting 20 pounds
